To support our truck sales operation and to help provide a seamless purchasing experience with us, by ensuring that administrative processing and progressing is carried out as effectively as possible.

  • To attend to sales team and senior administrator requirements for effective processing of truck sales transactions
  • Complete and process vehicle orders accurately as directed by senior administrator or sales manager, in line with sales orders, demonstrations or showroom stock requirements
  • Monitor vehicle availability and transit to dealership
  • Collate and record all new vehicle inbound delivery information, creating files for new vehicles into stock and stock record book; create stock cards for new vehicles
  • Complete vehicle sales orders and PDI instructions, ensuring distribution of appropriate documentation to relevant Departments
  • Complete pre-delivery administration and arrange registration and Vehicle Excise Licences for all sold vehicles and maintain a supply of registration numbers. Use of RaV (AFRL) system.
  • For non-RaV compliant (special) vehicles, complete form V55; ensure forms and payments are processed correctly to confirm vehicles are taxed and log books ordered as required.
  • Maintain record of all key numbers by chassis No.
  • Timely preparation and accurate completion of sales invoices
  • Create and maintain all Used vehicle stock records in Pinnacle Stock Books and on live WIP file
  • Provide administrative support to Sales team as required and keep them informed of customer order status
  • Place orders with bodybuilders as per agreed bodybuilder quotes and signed Customer orders.
  • Ensure progress of bodybuilder activity is updated in the WIP on a regular basis.
  • Assist senior administrator in keeping WIP file up-to-date within 12 hour SLA
  • Assist senior administrator by monitoring and updating New and Used Stock lists (incl. Pipeline)
  • Ensure adherence to company policies and processes relating to specifying & ordering vehicles and subsequent handing-over of vehicles to Customers.
  • Assisting sales team in closing-off any post-delivery admin, such as service contract paperwork.
  • To provide reports to Management as required
  • Assistance with any other task as required
